JOURNALS OF THE INSTITUCIÓN PRÍNCIPE DE VIANA CODE OF PUBLICATION ETHICS AND GOOD PRACTICES
The academic journals of the Institution Príncipe de Viana (Príncipe de Viana, Fontes Lingvae Vasconvm, Cuadernos de Etnología y Etnografía de Navarra and Trabajos de Arqueología Navarra) are seriously committed to the scientific community in terms of ensuring the ethics and quality of the articles it publishes, protecting and respecting both their contents and their integrity. This code of ethics is based on the Code of Conduct and Best Practice Guidelines for Journal Editors issued by the Committee on Publications Ethics (COPE). All the parties involved in the publication (authors, management, Editorial Board, reviewers and the Government of Navarre, in its capacity as publisher) must accept and respect the principles contained in this document. All issues not covered by this code of ethics will be resolved by reference to the aforementioned COPE code, which will serve as a Complementary code.
1. DUTIES AND RESPONSIBILITIES OF THE JOURNAL’S MANAGEMENT AND EDITORIAL BOARD Publication decisions
All articles submitted to the journal will be peer reviewed by at least two people who are experts in the subject matter of the article. The double‐blind system will be used. The Editorial Board will ensure the impartiality and objectivity of the reviews, avoiding any potential conflict of interest. The management of the journal is responsible for analysing and deciding which articles will be published, proceeding to accept or reject them according to the review reports issued by the experts and the relevance of the content for the scientific community. The management may seek the advice of the Editorial Board or the reviewers in order to make a decision regarding the acceptance or rejection of an article.
The Editorial Board will inform the authors as to its decision, stating its reasons. When an article needs to be revised, the possible areas for improvement will be indicated. The authors should submit a new version of the article, responding to the requirements and suggestions contained in the review reports. The final decision on whether to accept or reject the article will be made following receipt of the new version.
Impartiality and independence
The review process guarantees the objectivity and fairness of the decisions made regarding the articles because it is based solely on academic merit (importance, originality, rigour and clarity of exposition) and its relevance both for the scientific community at which the journal is aimed and the journal's editorial line, there being no place for any type of discrimination based on personal characteristics, political, sexual or religious orientation, geographical or ethnic origin, or other conditions specific to the authors.
The decision to publish an article or not is not under the influence of the Government of Navarre or any government or body external to the journal. The management of the journal has full authority over the editorial contents and when they should be published.
Confidentiality
The works received for review will be treated as confidential material and none of the information contained in them will be disclosed or discussed with third parties beyond the management or the Editorial Board without the authors’ consent.
The members of the management and the Editorial Board will keep the information contained in unpublished articles confidential and will not use it for their own research or benefit without the express written permission of the authors. The members of the management and the Editorial Board will refrain from reviewing or making decisions on articles regarding which they have a conflict of interest resulting from competition, collaboration or any other connection to any of the authors, companies or institutions related to the articles. In such cases, another member of the Editorial Board without conflicts of interest will review and make any appropriate decisions about the article in question.
Collaborative research
The management and the Editorial Board, together with the publisher (Government of Navarre), will take measures in cases of suspected unethical practices regarding an article published by or submitted to the journal. All complaints of unethical behaviour regarding an article will be investigated, even when received years after publication. This journal applies the flowcharts of the Committee on Publication Ethics (COPE) in cases of suspected misconduct. If investigation concludes that there has been misconduct, the measures may include contacting the authors and the institutions in which they conduct their research, and the publication in the journal of a correction note or retraction.
2. DUTIES AND RESPONSIBILITIES OF REVIEWERS
Contribution to editorial decisions
Peer review helps the management and Editorial Board to make decisions and, through communication with the authors, can contribute to improving the articles. Peer review is an essential component of academic communication and scientific methods.
Timeliness
If an expert is invited to review an article but does not feel qualified to do so or knows that he/she will not be able to send his/her report in a timely manner, he/she should immediately notify the Editorial Board in writing and decline the invitation.
Confidentiality
All originals received are confidential documents and will be treated as such. They will not be shown to or discussed with third parties without the permission of the management (which will only be given in exceptional and specific circumstances). The requirement of confidentiality also applies to reviewers who turn down an invitation to review an article.
Objectivity
The reviews must be objective and observations should be made in a clear and reasoned manner so that authors can use them to improve their articles. Personal criticism is inappropriate.
Acknowledgement of sources
Reviewers should identify relevant works published which have not been cited by the authors. All mentions or referrals to the contents of previous publications must be accompanied by the appropriate citation. Reviewers must also inform as to any similarity or substantial overlap between the article reviewed and other articles, published or not, of which they have knowledge.
Reviewers with a conflict of interest resulting from competition, collaboration or any other connection to any of the authors, companies or institutions related to the article under review must inform the management of the journal and refrain from reviewing it.
Reviewers will not use the information contained in unpublished articles for their own research or benefit without the express written permission of the authors. This requirement also applies to reviewers who turn down an invitation to review an article.
3. DUTIES AND RESPONSIBILITIES OF AUTHORS
Standards of information
The authors of original research must submit a precise account of the work carried out and the results obtained, followed by an objective presentation of the relevance of the work.
Review articles should be accurate, factual and complete, while editorial "opinion" must be clearly identified as such. Fraudulent or knowingly inaccurate statements constitute unethical behaviour and are unacceptable.
Data access and conservation
Authors may be asked to provide the primary data from their study along with the original for review and should be prepared to make the data publicly accessible, if possible. In all events, the authors should ensure the accessibility of the data to other competent professionals for a reasonable time after publication, provided that the confidentiality of the participants and the rights of ownership of the data do not prevent it.
Originality and plagiarism
Authors will ensure that the article and its associated materials are original and do not infringe copyright. If works by other people have been used, these should be properly cited. In the case of shared authorship, the authors must justify full consensus among all the authors concerned and confirm that the work has not been previously presented or published in other media.
Plagiarism can take many forms, from passing another person's work off as one’s own to paraphrasing substantial parts of another person’s work without attributing them to him/her or appropriating the research results of others. Plagiarism in all its forms constitutes unethical behaviour and is unacceptable. Articles in which plagiarism or fraudulent content is identified will not be published or will be removed from the journal if already published. The journal will act as quickly as possible in these cases.
The author must report any use of AI-assisted tools to create texts, images or translations in the work submitted.
If AI has been used, the author must disclose in which texts, images or translations it has been employed in the relevant section. If AI has been used as a tool to aid writing, please indicate as such in the Acknowledgements section. If it has been used for data collection, analysis, or figure generation, describe how it has been used in the method section.
Authors are responsible for all material submitted which has involved the use of AI-assisted technology. AI will not be mentioned as an author or co-author.
Multiple, duplicate, superfluous or concurrent publication/ submission
Articles which essentially describe the same research should not be published in more than one publication. Therefore, authors should not submit articles which have already been published. The submission of an original for publication in more than one journal is unethical behaviour and is unacceptable.
Acknowledgement of sources
The work of other people must be acknowledged appropriately. Authors should cite publications which have been influential in the development of the article submitted for review. Information obtained privately (in conversations, correspondence, discussion with third parties or in confidential services) should not be used without the explicit permission in writing of the source.
Authorship
Authorship should be limited to persons who have contributed significantly to the conception, design, execution or interpretation of the work submitted. All persons who have contributed significantly should appear as co‐authors. Persons who have participated in specific aspects of the project should be acknowledged as collaborators. The person submitting the text must ensure that all the co‐authors appear as such and that nobody who is not a co‐author is mentioned. He/she must make sure that all the co‐authors have approved the final version of the article and agree that it should be submitted for publication.
Disclosure and conflicts of interest
All authors should disclose in the original any conflict of interest which might influence the article’s results or interpretation. All project funding sources must be disclosed. Examples of possible conflicts of interest which should be disclosed include employment, consultancies, stock ownership, honoraria, paid expert testimony, patents, grants and other financial contributions.
Fundamental errors in published works
When an author discovers a significant error or inaccuracy in his/her own published work, he/she must notify the publisher or management of the journal without delay and help them to correct it or withdraw the article. If it comes to the attention of the management or the publisher that an article contains a significant error or inaccuracy, the author must withdraw it, correct it or provide the management with evidence of the accuracy of the original as soon as possible.
Peer review
Authors are required to participate in the peer review process and cooperate fully by responding to requests for primary data, clarifications and authorizations made by the management promptly. If it is considered that an article needs to be revised, the author should respond to the comments in the reviews systematically, point by point, and resubmit the original to the journal within the allotted time.
4. DUTIES AND RESPONSIBILITY OF THE PUBLISHER Handling unethical behaviour
In cases of alleged or proven misconduct, fraudulent publication or plagiarism, the publisher (Government of Navarre), in close collaboration with the management, will take all the appropriate steps to clarify the situation and amend the article in question. This will include the publication of an erratum, a clarification or, in more serious cases, the withdrawal of the article without delay. The publisher, together with the Editorial Board, will take all reasonable steps to identify and prevent the publication of articles in which misconduct has been identified and will under no circumstance encourage or consciously allow such behaviour.
Access to the contents of the journal
The publisher undertakes to ensure the permanent availability and conservation of academic research, collaborating with other organizations and maintaining its own digital archive to ensure access.
